Privacy Policy

TAMAMONO ("we", "us") builds and operates KIROKU, OKAGE, and IROHA (the "Apps") exclusively for use by NEO COFFEE BAR and its staff. The Apps are internal operational tools — they are not available for public download and are not directed at the general public or at children.

1. Who this policy applies to

This policy applies to authorized NEO COFFEE BAR staff, managers, and administrators who are invited to use one or more of the Apps. Access is by invitation only.

2. Information we collect

• Account information: your name, work email address, assigned role (e.g. Employee, Manager, Admin), and the location(s) or position you're associated with.
• Operational data you enter:
  • KIROKU — checklist answers, temperature readings, and timestamps for opening/closing routines.
  • OKAGE — audit answers, scores, corrective actions, and sign-offs.
  • IROHA — recipe content and your training progress through tasks and blocks.
• Photos: images you optionally attach as evidence for a checklist item, audit question, or corrective action.
• Basic usage data: sign-in timestamps, used to keep your account secure and to support the app.

We do not collect your precise location, contacts, browsing history outside the Apps, or any data unrelated to operating the Apps.

3. How we use this information

• To operate the core functionality of the Apps — checklists, audits, temperature logging, recipes, and training tracking.
• To let managers review completed work for the location(s) they're responsible for.
• To maintain accurate operational and food-safety records for NEO COFFEE BAR.
• To secure accounts (authentication) and troubleshoot issues.

We do not sell your information, and we do not use it for advertising.

4. Where information is stored

Data is stored in a managed cloud database (Supabase) and app hosting is provided by Netlify. Invitation and notification emails are sent through Resend. These providers act only on our instructions and do not use your data for their own purposes.

5. Sharing

Information within an App is visible only to authorized users at NEO COFFEE BAR, scoped to their role and assigned location(s) (for example, a location manager sees their own location; a company administrator sees company-wide data). We do not share your information with third parties except the service providers described above, or where required by law.

6. Data retention

We retain account and operational data for as long as your account is active and as needed to maintain accurate operational records. When you leave NEO COFFEE BAR, your manager can deactivate your account; historical records you created remain as part of the operational record, consistent with standard record-keeping practice.

7. Your choices

You can ask your manager or TAMAMONO to review, correct, or delete your account information. Contact us using the details below.

8. Children's privacy

The Apps are internal workplace tools intended for adult staff and are not directed at children.

9. Changes to this policy

If this policy changes, we will update the "Last updated" date above. Material changes will be communicated to NEO COFFEE BAR management.
